What Nigerian School Proprietors Should Sort Out in August Before the New Session Starts

September comes fast. Every school owner knows this and yet every September the same scramble happens — class lists are not ready, new students were enrolled but their records are not in the system, a teacher confirmed in July never showed up, the fee structure changed but nobody told the bursar.

August is the window. Not a long one, but enough. Here is what to use it for.

Close Out Last Session's Records Properly

Before anything else about the new session, last session needs to be finished cleanly.

Outstanding fee balances from third term are the most common loose end. Some parents paid in instalments and the final payment never came. Some payments were received but never properly recorded against the student. By September these become disputes — parents insisting they paid, the bursar unsure, no clean record to settle it.

Go through every student account now. Identify outstanding balances. Send a WhatsApp message to those parents in August while they still feel the recent obligation. A fee chase in August gets a response. The same chase in week two of the new term competes with new term fees and usually loses.

Also close out the class lists. Students who transferred out, withdrew, or completed the school need to be marked inactive before the new session starts. A new session that begins with last year's leavers still appearing on attendance registers creates confusion from day one.

Confirm Your September Enrollment Numbers

Most Nigerian private schools run open enrollment from May through August for September resumption. By mid-August you should know, with reasonable confidence, how many new students are starting in each class.

If you do not know this number by August 15th, that is a problem worth fixing before September. You cannot make staffing decisions, order books, or plan class arms without knowing how many children are coming through the gate.

For schools using an online enrollment system, this number is visible on the dashboard at any moment. For schools still using paper forms, August is when someone needs to sit down and count. Every application that was submitted needs a status — enrolled, waitlisted, rejected, or abandoned. Applications where the parent went quiet after submitting need a follow-up call now, not in October.

Set the New Session Fee Structure Early

If your fees are changing for the new session — which they probably are, given inflation — parents need to know in August. Not on the first day of school. Not with two weeks notice. In August, when they are budgeting and making financial decisions for September.

A fee increase announced in the first week of term produces complaints and a few withdrawals. The same increase communicated clearly in August, with a brief explanation, produces almost no reaction because parents had time to plan.

Send a WhatsApp message to every parent in August with the new term fee structure, the payment deadline, and the bank account or Paystack link to use. Include the child's name in the message so it feels specific rather than circular. Keep it short. Three sentences is enough.

Sort the Staff Situation

August staffing problems are common and predictable. A teacher who taught all of last session will not come back for a new one. The vice principal who said she was taking maternity leave will not be back until November. Two new teachers were interviewed in June but never formally confirmed.

None of this is unique. What is unique to the schools that handle it well is that they find out in August rather than on the first Monday of the new term.

Send a confirmation message to every member of staff in the second week of August. Not a formal letter — a WhatsApp message is fine. "Confirming you are with us for the new session resuming [date]. Please confirm by replying to this message." The ones who do not reply within 48 hours are the ones to follow up with by call.

For any staff you are not sure about, find out now. Replacing a teacher in August takes two weeks. Replacing one in the second week of September takes two weeks you do not have.

Set Up New Student Records Before Resumption Day

Resumption day is the worst possible time to create student records. On that day the admin is managing parents at the gate, handling new enquiries, dealing with class placement questions, and trying to locate the uniform supplier. Adding data entry to that morning is a mistake.

Every student confirmed for enrollment should have their record created in the school management system during the last two weeks of August. Admission number generated. Class assigned. Parent contact details entered. Parent account created and login details sent via WhatsApp before resumption day.

When a parent arrives on the first day, their child is already in the system. The admin can look them up in five seconds. The parent feels like they are joining a school that has its act together. That impression, formed on day one, lasts.

Test Every System That Will Be Used From Day One

If your school uses a management platform for attendance, fees, and communication, August is when you test every part of it before you need it under pressure.

Specifically:

Mark a test attendance record and confirm the parent WhatsApp notification fires correctly. If your Termii account is still pending approval this is when you find out, not on the first morning of term.

Process a test fee payment and confirm it reflects on the student account. Check that the WhatsApp receipt generates automatically.

Log into the system from the phone you will actually use on resumption morning, not just from your laptop. If something does not work on the phone, find out now.

For schools that have not yet moved to a digital system and are considering it — August is the month to start, not September. A school that begins a new session on a new platform after two weeks of setup is in a much better position than one that tries to switch systems mid-term.

Prepare the First Parent Communication of the Session

The first message parents receive from the school in a new session sets the tone for the relationship over the next nine months.

It should go out one week before resumption. It should confirm the resumption date, the reporting time, what the child should bring on day one, and the fee payment deadline if it has not already passed. It should come from the school's designated communication number, not from a personal phone.

If your school has been using a parent WhatsApp group, this is a good session to move away from it. Start the new session with a broadcast-only channel — messages from the school go to parents individually, not into a group where everyone can respond. The beginning of a session is the easiest moment to make this change because everything about the new session feels new anyway.


August is quiet for a reason. The schools that treat it as a working month rather than an extension of the holiday arrive in September already organised. The ones that coast through it spend the first month of term managing problems that were visible in July.
